iTeach and TLCIS Systems Training and Workflow Adoption

Turning platform knowledge into accurate, independent, and sustained staff performance

Reconstructed confidential workRepresentative portfolio demonstration

The enablement challenge

Knowing the clicks is not the same as performing the work.

Training had to connect each person's role with the decisions, sequences, accuracy standards, and handoffs behind the system. The useful test was whether the person could complete the work independently.

iTeach instructor enablement

Mostly one-to-one coaching for reliable classroom and course-operation performance.

  • Virtual classroom navigation
  • Course setup and materials
  • Assignments, quizzes, and homework
  • Attendance and student records
  • Grade weighting, grading, and reporting

TLCIS and SEVIS transition

Role-aligned preparation for the admissions replacement and incoming site director.

  • Records, statuses, and applications
  • Documents, payments, credits, and courses
  • I-20 and SEVIS workflow steps
  • Orientation, assessment, and placement
  • Calendars, deadlines, and teacher handoffs

The training pattern

Move from demonstration to sustained performance.

The sequence combined live-system explanation, authentic practice, real-time correction, individualized support, and later review.

  1. 01Diagnose

Notice the error pattern, deadline risk, or request for help.

  2. 02Demonstrate

Show the live workflow and explain why the sequence matters.

  3. 03Practice

Have the staff member complete the task while being observed.

  4. 04Correct + capture

Repair problems and create tailored notes or checklists.

  5. 05Review

Recheck later work and reinforce the process when needed.

Evaluation gap closed

Separate historical observation from proposed measurement.

The original training was evaluated qualitatively through performance and work review. The new scorecard makes that logic repeatable without inventing historical numbers.

01

Observe performance

Watch the trainee complete the target task instead of relying on verbal confirmation.

02

Inspect the output

Review the resulting course setup, grade configuration, attendance, or record for accuracy.

03

Revisit later work

Check whether performance holds without the original step-by-step prompting.

04

Measure adoption

Track accuracy, timeliness, corrections, repeat help requests, and independent completion.

Evidence boundaryThe training and observed changes are reconstructed from detailed firsthand experience. Contemporaneous emails, calendars, screenshots, system records, and internal materials remain within TLC. The scorecard is a new representative demonstration and contains no claimed TLC measurement results.

01Situation

I trained six instructors mostly one-to-one on iTeach and prepared an incoming admissions replacement and incoming site director for TLCIS and SEVIS workflows, using live demonstration, authentic cases, observed practice, tailored notes, work review, and follow-up.

The challenge

System access did not guarantee reliable performance. Instructors could understand teaching expectations yet still struggle with course setup, materials, assignments, grade weighting, records, reporting, or deadlines. Administrative transitions carried a wider continuity risk across student records, applications, documents, payments, I-20 and SEVIS steps, orientation, assessment, placement, calendars, deadlines, and teacher handoffs.

My role and boundaries

The site director assigned me to train instructors, and the work also developed through my teaching and administrative responsibilities. I initiated support when I noticed gaps, and instructors requested help directly. I trained six instructors mostly one-to-one on iTeach and trained my admissions replacement and the incoming site director on TLCIS and SEVIS workflows. This project describes operational training within approved institutional procedures; it does not claim platform administration or final regulatory authority. Contemporaneous materials and records remain within TLC.

02Approach

How I worked

Turn the problem into a usable system.

  1. 01

    Diagnose the performance need

Identify the task, error pattern, deadline risk, or request for help instead of treating every problem as a general software question.

  2. 02

    Demonstrate the live workflow

Show the sequence in context and explain the decisions, dependencies, records, and handoffs behind the clicks.

  3. 03

    Move quickly into guided practice

Have the staff member complete the task while I observe, ask questions, and correct problems in real time.

  4. 04

    Capture individualized support

Create notes or checklists around the exact steps the person needs to remember rather than relying on one generic explanation.

  5. 05

    Verify transfer in later work

Review course setups or records, observe independent task completion, and use correction needs, support requests, deadlines, and later-session stability as qualitative adoption signals.

Systems Training Evaluation and Adoption Scorecard

Representative portfolio demonstration
My contribution
Designed a new two-page measurement framework that converts the historical observation-and-review approach into a repeatable baseline, guided-practice, independent-demonstration, quality-review, and adoption-check process. Blank fields and proposed measures are not historical TLC results.
04Results

What changed or was produced

Results, separated from assumptions.

The evidence basis below distinguishes a documented output from an observed effect, a visible snapshot, or a bounded firsthand account.

Instructor enablement

Six instructors, mostly one-to-one

Basis: Bounded firsthand account

Training covered virtual-classroom navigation, course setup, materials, assignments, attendance, records, grade weighting, grading, and reporting.

Transition preparation

Admissions replacement + incoming site director

Basis: Bounded firsthand account

The TLCIS and SEVIS handoff used live walkthroughs, actual admissions cases, written notes, observed task performance, and follow-up support.

Observed adoption

More accurate, independent, and timely work

Basis: Observed qualitative effect

Later work required fewer corrections or requests for help, deadlines were met more consistently, and class sessions ran more smoothly. No numeric pre/post study is claimed.

Measurement evidence

One reusable 0-3 adoption scorecard

Basis: Documented output

The newly designed artifact measures baseline and follow-up performance without inserting or implying historical TLC scores.
